Working Title:       Office Clerk

Supervisor:           Area Manager

General Description of Position:  Must have general computer, typing, and filing skills.  Incumbent must have good telephone etiquette and ability to take accurate messages.   Must exercise good judgment and discretion in order to maintain the confidentiality of the company’s affairs.

Essential functions and responsibilities listed below:

Provide support to the President and other Vice Presidents

  • Politely answer and forward telephone calls
  • Greet and announce visitor
                    Maintain an accurate record of visitor and employee traffic inflow and outflow
  • Monitor and distribute faxes, incoming and outgoing mail, and file correspondence as instructed
  • Maintains postage meter
  • Orders office supplies and stocks supply room
  • Maintain and keep a clean and organized reception area
  • Interact with couriers, delivery personnel, and postman
  • Process New Hires:

Assist walk-in applicants with employment applications and maintain required applicant logs and documentation as required by the Human Resources Department

Schedule employee interviews with superintendents

Schedule new hire physical and fitness exams

Provide new hire orientations and execute new hire documentation

Maintain and update the employee file

  • Assist with Vehicle Agreements,  Rental and Company, Lease Insurance,  Annual Updates, Company Assignment Logs
  • Assists with setting up meetings
  • Sort through, organize, photocopy, and file/scans paperwork as requested
  • Update lists, spreadsheets, word files, and other documents
  • Schedule appointments for office personnel
  • Perform data entry tasks and maintain compliance logs
  • Maintain weekly reconciliation of fuel transactions for fuel purchases
  • Communicate all fuel card changes, additions, and cancellations with the appropriate Corporate Office person
  • Check and pre-screen paperwork and backup for monthly pay forms for Area Manager approval
  • Distribute to all Project Managers a monthly Area hourly employee wage rate and labor classification listing
  • Review payroll hours discrepancy and proper coding for accuracy of weekly payrolls in Heavy Job
  • Verify all Project Correspondence is accumulated at Area Office and scanned into Project Files
  • Assist with travel, lodging, meal, payment of facility accommodations needed
  • Maintain and update the Supervisory vacation calendar
  • Manage and maintain records of Area Office company issued telephones and electronic tablets and facilitate their repair or replacement
  • Manage and maintain updated vehicle insurance log for supervisory personnel
  • Ensure facility landscape maintenance is being performed
  • Ensure facility janitorial custodians are performing
  • Maintain adequate stock of janitorial supplies
  • Solicit repair or replacements services to maintain the facility in good condition
  • Maintain accurate records and accountability of the field checking account
  • Administer petty cash disbursements and maintain an accurate record of all transactions
  • Other duties as assigned


Specific Equipment and Materials to be used: Fax, telephone, PC, copier, scanner, calculator


  • Bilingual (English/Spanish)
  • Knowledge of Accounting Principles
  • Construction experience preferred
  • Proficient  with Microsoft Office
  • Must be organized, detail oriented, have a professional demeanor and be discreet

Education:  High School Diploma or GED

Experience and Training:  Five years experience in Heavy Highway Construction

Physical activities/Physical demands: Telephone daily 30%; keyboard manipulation daily 50%; standing 10% daily; bending 5% daily; and stretching/filing  5% daily.
